Asset Controller
Job Description:
Job Summary
The Asset Controller is responsible for managing and maintaining the company's physical assets, including laptops and headsets, throughout their lifecycle from allocation and tracking to maintenance, return, and disposal. The role ensures accurate asset records, effective inventory control, and compliance with company asset management procedures.
The Asset Controller works closely with internal stakeholders, including IT and Operations teams, to ensure assets are available, maintained, and properly accounted for to support business operations. The role also provides accurate reporting and insights on asset status, utilisation, and risks.
Key Responsibilities
- Maintain accurate and up-to-date records of all company assets, including laptops and headsets.
- Manage the issuing, tracking, return, storage, and disposal processes of assets according to company policies.
- Ensure all required asset documentation is completed, captured, and stored correctly for tracking and audit purposes.
- Update asset inventory records when assets are allocated, returned, transferred, repaired, or disposed of.
- Monitor asset lifecycle stages and ensure assets are properly managed throughout their usage period.
- Liaise with IT, Operations, and relevant internal departments to ensure effective asset management processes.
- Utilise asset management systems and tools to track assets and maintain data accuracy.
- Ensure asset records are accurate, complete, and regularly updated.
- Coordinate repairs and maintenance of damaged assets by engaging with external suppliers where required.
- Maintain detailed records of repairs, maintenance activities, and asset history.
- Conduct regular asset checks and identify discrepancies, risks, or areas requiring attention.
- Prepare and distribute weekly asset reports, including asset availability, usage status, repairs, storage, and disposal tracking.
- Provide visibility on headset availability for upcoming training requirements.
- Escalate asset-related concerns and recommend improvements to asset management processes.
Requirements
- Grade 12 / Matric qualification or equivalent.
- Previous experience in asset control, inventory management, administration, or a similar role.
- Experience managing IT-related assets such as laptops, headsets, or equipment advantageous.
- Strong administrative and record-keeping skills.
- Proficiency in Microsoft Excel and reporting tools required.
- Experience using asset management systems or inventory tracking tools advantageous.
- Strong attention to detail and accuracy when maintaining records.
- Ability to manage multiple tasks and priorities effectively.
- Strong organisational skills and ability to meet reporting deadlines.
- Ability to work independently while collaborating with internal stakeholders.
- Willingness to work night shifts.
